4. Asset records are someone else's problem until they're yours

The root cause behind every failed lookup I've seen is broken asset tracking. The original technician didn't log the serial number. The spreadsheet has a typo. The invoice was filed under a different PO. So the physical device and the paperwork don't match. And you never find out until it matters.

I had six identical EX2300s in one rack. Two of them had serial numbers that didn't match our asset list. Nobody noticed for two years. Nobody cared. Until one died.

The real cost: my $8,400 mistake

In June 2022, a client's branch-office switch died. Power surge, dead unit, no drama. We swapped in a spare in 20 minutes. The problem started afterward.

We filed a warranty claim. The serial on our asset sheet didn't match the physical unit. (Should mention: that asset sheet was last updated by a technician who left in 2021.) We assumed the label was correct, but the original invoice listed a different serial number than the device actually in the rack.

Long story short: the warranty had lapsed, and we couldn't prove when that specific unit was purchased. Replacement cost plus urgent shipping plus labor came to roughly $8,400. Client was understanding—barely. Credibility took a hit. All because nobody had ever verified the serial number.

I made two more mistakes before changing my process. In September 2022, I approved a replacement firewall order without checking the serial on the failed unit—we duplicated a purchase order.   1. Photograph the serial label before racking. Store it in a shared folder with the invoice PDF. Takes 30 seconds and solves the "label fades" problem permanently.
  2. Verify during installation. Don't trust the packing slip—physically read the label and compare it to the invoice. Mismatch? Stop and fix it before it's your problem later.
  3. Keep a three-column spreadsheet. Hostname, serial number, invoice number. That's it. A $20,000 asset platform is overkill when a spreadsheet plus discipline works.
  4. Reconcile twice a year. I pick January and July. Spot-check 10% of Juniper devices, match physical labels to the sheet, update. It's a couple of hours of work.
